This page focuses on the Educational Supervisors Review and the e-portfolio
The word "Assessment" in the title "Work place based assessment" really should read "Assessment of the Evidence". It is your - Assessment based on the evidence - supplied by the GPR, as to whether there has been progress through training, and finally, whether there has been enough evidence to satisfy you that the GPR is competent of independent practice.
Whereas putting the evidence into the e-portfolio by the GPR is relatively straight forward, finding the evidence can be challenging and time consuming. I have therefore provided a number of options as to how to go about this process.

| A tick box check list to ensure you have covered everything in a Review. When you come to complete your review, you need to ensure that all aspects of the Review have been completed. For example, the required number of COTS, CBD have been completed, the required number of OOH's, and so on. This is the tick box single page sheet that I use when looking at the e-portfolio as a Programme Director to ensure coverage before submission to the ARCP panel. |
| Correcting errors when setting up Review Dates It is very easy to create problems with either duplicate review dates, information written in the wrong place, setting up more than one review in the same period and so on. If you have any problem with these issues, this document may be abel to help you. |
A more detailed look at the individual components
| Competency assessment | There are 12 competencies to be assessed backed by evidence supplied by the GPR. The GPR is required to rate themselves and supply evidence that they believe backs up this rating. They should show what action they need to improve their rating for the next occasion Your role is to look at their self rating and then make YOUR assessment based on the evidence that you can see and make your own suggestions as to action. For each of the 12 Competencies, there is a descriptor. You can download these descriptors here. Evidence is found in many locations. As well as learning log entries, there is the MSF, PSQ, COT's to consider. Unfortunately, the e-portfolio is not geared to show you the evidence easily. How you do it is up to you, however I suggest that there are two approaches. The first is at the time of the review. The second is to collect the evidence as you go along. |
| 1) Evidence at the time of the review | You will therefore need to go on a fishing exercise. This shows you where to look. | 2) Collecting evidence as you go along | Each time you come across evidence to support any competency, make a note of it. The evidence simply becomes a copy and paste exercise and I believe far quicker and perhaps a more accurate reflection. Use the pro forma I have created by clicking on this link. You can see there are two columns for each of the two six months so you compare. |
| Curriculum assessment | There are 31 areas of the curriculum to cover over the 3 years of training. With each entry of the learning log, the GPR can state which area(s) of the curriculum they have covered. With each curriculum statement, there is a number relating to the number of cross references. You need to make a comment on two things It is easy to see if there have been no entries at all, as "0" appears. Once entries are made however, there is no easy way to see whether progress is being made. The e-portfolio fails to help display this type of information, it only shows you totals. |
| 1) View each of the 31 curriculum entries at the time of the review | Each curriculum statement can be clicked and the evidence relating displayed. It would be nice if this was in date order however this is not the case. Look to see if new entries in the past 6 months have been entered |
| 2) Keep a record of the number of entries each six months | I use an Excel spreadsheet to copy and paste the numbers in. You do need to have an element of Excel spread sheet skill to do this. Download my Curriculum Excel spreadsheet by clicking here. You will need to copy the current totals into a new sheet and then copy just the total columns into the master sheet. Do this every six months and you can easily see progress. Provided you ensure that when you review Log Entries that sensible curriculum entries have been made, this becomes a number exercise. |
